THE ROLE

The CUE Teen Collective Coordinator is a part-time, seasonal role that supports CUE Art Foundation’s CUE Teen Collective (CTC) for the 2023-24 academic year. CTC is a free, year-long after-school program for high school students who are passionate about visual culture and interested in exploring careers in the fine arts.

The CUE Teen Collective is uniquely structured to give students insight into the NYC art world, in order to prepare them for careers as visual artists and beyond. The program also offers students the opportunity to collaboratively conceptualize and plan a final exhibition of their own work, presented at CUE’s gallery space in the Spring of each year.

The position will be supervised by and work closely with CUE’s Gallery Associate, Communications Associate, and the CTC Lead Educator. They will also work directly with other staff to ensure the success of the 2023-24 collective.

The CUE Teen Collective Coordinator supports the needs of the program across multiple areas of work. The position assists the program’s administrative needs, such as administering registration packets, developing rosters and attendance records, setup and coordination of class sessions, and managing supplies and inventory. Additionally, the position supports communications efforts related to CTC, collaborating with CUE’s Communications Associate on email and website communications, social media, and program documentation. The position also assists the CTC Lead Educator with student engagement, class session logistics, and the planning and coordination of the CTC final group exhibition in June 2024.

The ideal candidate for this position is a motivated individual who is interested in joining a small team of passionate people. They will be mission-driven and interested in arts education as well as arts engagement in New York City and more broadly. AREAS OF WORK

  • Organization and administration of student materials

  • Communication with students, parents, and vendors

  • Documentation and communication of the program to CUE’s audiences

  • Management of inventory and budget tracking

  • Assistance in planning the CUE Teen Collective final exhibition

SPECIFIC RESPONSIBILITIES

Program Coordination

  • Assist with creating, editing, and organizing the program/exhibition schedule and student recruitment and selection process

  • Co-host student interview days during the recruitment process; arrange Zoom calls and calendar invites

  • Administer registration packets and ensure all student paperwork is complete, filed, and tracked

  • Serve as the main point of contact for students and parents to communicate late arrivals, absences, questions, etc. 

  • Manage roster of students and track attendance for each class session

  • Draft and send agreements and W-9 forms to speakers before class sessions; ensure receipt of forms and filing in budget

  • Sent thank you notes to guest speakers and hosts following class sessions

  • Draft and send class session information email to students and their parents/guardians on a weekly basis

  • Assist with outreach and plan field trips to museums, galleries, and artist studios; participate in group conversations with artists and art professionals

  • Oversee setup and break down of class session material (i.e. tables and chairs, projector, art supplies, etc.)

  • Co-supervise students during weekly class sessions; participate in conversations and one-on-one meetings and support student needs and questions

  • Assist with updating Google Classroom with relevant readings and resources

  • Manage inventory of art supplies and snacks, ordering new supplies as needed and as possible within budget

  • Purchase and distribute Metrocards; ensure signed agreements are on file

  • Buy and distribute Blick gift cards for student art materials

  • Maintain budget; track expenses and ensure costs are in budget document

  • Communicate regularly and consistently about updates with CTC Lead Educator, CUE staff, students, and parents/guardians

Communications

  • Document program sessions via photo and video and upload to Google Drive

  • Plan and implement social media for class sessions via Instagram stories/posts

  • Increase engagement on CTC social media account by liking, following, and commenting on peer organization youth program accounts

  • Ensure prompt delivery of all requested materials from students

  • Assist with tracking, reviewing, and copyediting student headshots, biographies, statements and artwork captions 

  • Assist with preparation of email updates, recruitment communications, and public announcements related to CTC

  • Collect and maintain program data

Exhibition Planning and Production

  • Assist in producing final student exhibition in CUE’s gallery space

  • Conduct outreach to videographer, photographer, and other vendors for final exhibition; coordinate documentation and file management

  • Produce annual print catalogue using student materials and visual assets

  • Assist in developing exhibition plan, including artwork drop-off, installation, vinyl, and deinstallation/artwork pick-up deadlines

  • Communicate with students regarding exhibition opening, as well as artwork drop-off, installation, pick-up, and follow up

  • Mail catalogues to students and send final exhibition communications (images for portfolio, video, etc.)

Other Tasks and Duties

  • Answer phone and field requests in the gallery as needed

  • Greet visitors and provide info on gallery hours, particularly on CTC session days

  • Participate in maintenance and cleanup of gallery and office space, with other staff 

  • Prepare gallery for visits by CTC funders and guests

  • Participate in creation of development materials for CTC program and general CUE funding, including compiling photos and text related to CTC

  • Other tasks as requested and assigned

QUALIFICATIONS

Background

  • BA/BFA in studio art, art history, arts education, or a related field

  • Minimum of one year of experience working with students (preferably teenagers) in a school, enrichment program, museum, or community setting

  • An understanding and interest in contemporary art and the art world

  • Ability to lift at least 20 pounds

Administrative and Interpersonal Skills

  • Excellent communication and administrative organizational skills with the ability to work independently and follow through on projects

  • Strong organizational, administrative, and time­ management skills with attention to detail

  • Propensity for teamwork; desire to collaborate with others and ability to engage with diverse people working toward common goals

Technical Skills

  • Familiarity with Google Apps, especially Drive, Sheets, Slides, Docs, and Calendar

  • Demonstrated knowledge of technical instruction in at least one artistic discipline (drawing, painting, or sculpture is strongly preferred)

  • Experience with curriculum development and developing lesson plans is a plus

SCHEDULE AND COMPENSATION

This position is on-site at CUE’s gallery space twelve (12) hours a week. Particular days and hours are to be determined together by the candidate and CUE’s staff, but candidates must be available to attend weekly class sessions (including setup and breakdown) on Tuesdays from 3–7 pm. This is a part-time, seasonal position that begins in October/November 2023 and ends in June 2024, with the potential to become part-time, permanent. The compensation for this position is $25 an hour. The position is not entitled to healthcare benefits or paid time off. In cases of illness or vacation, CUE offers flexible scheduling to accommodate needs.
